Southern Regional AHEC reserves the right to prohibit, deny access, or remove an supporter, which in its sole judgment is contrary to the character, objectives, and best interests of the event/conference or suitable for its attendees. This reservation includes, but is not limited to, any violation of public policies or the rules and guidelines below.

Arrangements for exhibits will not influence the planning or implementation of the educational activities. Commercial and promotional materials are not permitted in the room where the educational session occurs. The exhibit space is separated from the educational area so that attendees make an informed choice to view and engage with the promotional resources. Exhibit personnel can attend the CME session; however, they cannot ask questions and must refrain from soliciting sales or promotional activities with attendees in the educational space.

The following standards apply to exhibiting, promoting, and selling products or services:

• Exhibiting, promoting, and selling products may not take place during an educational activity; and
• Marketing or advertisement for exhibits, promotions or sales may not be included within educational activity content (e.g., slides, handouts, enduring materials); educational materials that are part of accredited education (such as slides, abstracts, handouts, evaluation mechanisms, or disclosure information) must not contain any marketing produced by or for an ineligible company, including corporate or product logos, trade names, or product group messages; and
• Marketing or advertisement for exhibits, promotions or sales must take place in a location that is physically/virtually separated from the area where educational content is delivered.

Southern Regional AHEC will not share participant information with supporters as per NC AHEC policy.

GiveawaysEmpty heading

Supporters may provide giveaways for learners, as long as there is physical separation between accessing the giveaway and learner engagement in the educational activity. Educational materials for an activity may not be packaged in items bearing logos or trademarks of a commercial entity.

COPYRIGHTEmpty heading

It is the supporter’s responsibility to obtain appropriate permissions, licenses, or approvals required for any copyrighted graphic, text, or video used in a presentation conducted during Southern Regional AHEC virtual events.

CANCELLATIONSEmpty heading

The supporter can receive a 70% refund if cancellation is requested at least 30 days prior to the event. No refunds will be issued after. However, there is an option to transfer the exhibit fee to another event.
